Booth Guidelines

1. Food and drink may be passed out with permission only. Email jayne.johnson@oc.npuc.org or call 503.850.3344 to discuss options.

2. All materials to be passed out, must be approved by MiniFest committee members. Please submit them to Charles.burkeen@oc.npuc.org or call 503.850.3559. Any materials that you need printed, you may request through the same contact info.

3. Each booth space is either 8’ x 9’, or 6’ x 9’. The spaces will be assigned on a first come first served basis. All parts of your display must be within your designated area. (Outdoor booths will have different space designations)

4. Electricity will consist of one extension cord into your space. Not all spaces will have access to electricity, so please request it on the form provided (or online) if it is needed.

5. The Holden Center will be open for set-up from 9:00am to 6:00pm on Friday. Tear down must happen between the hours of 7:00pm and 10:00pm Saturday night.

6. All Booth Staff/Volunteers must pass a background check.

7. Each booth must have an attendant present during the hours of 2:00pm and 7:00pm.

8. Live plants are allowed, but they must be “sealed” on the bottom so no water or dirt can get into the carpet.

9. Candles are not allowed inside any building on the campus.

10. Live animals are not allowed within the facility with the exception of registered service animals.

11. Free wifi will be available for you and your guests.

12. Music or audio equipment may be used within your space if it is kept at a low volume so as not to disrupt your neighbors booth.

~Exhibitors should be aware that music played in their booths, whether live or recorded, may be subject to laws governing the use of copyrighted compositions. ASCAP, BMI, and SESAC are three authorized licensing organizations that collect copyright fees on behalf of composers and publishers of music.

13. At no point, shall decorations, equipment or any other material be taped, stuck or otherwise applied to the carpet, walls or furniture.

14. Please ensure that your area is left clean when you are finished. Contact building staff for cleaning supplies such as garbage bags, etc.

15. If your display will provide handouts that could create garbage (i.e. food wrappers, etc.), you are responsible for providing a garbage can within your booth.
